Appendix A

 

Duties of Core Officers of the Management Committee;-

 

The duties of the Chair shall be; -

 

  • To schedule and preside at Management Committee and Steering Group Meetings

 

  • To prepare, in consultation with the Secretary, the Agenda for Management Committee and Steering Group Meetings

 

  • To act as principle spokesperson on public occasions or when representations are being made to public bodies on behalf of IRMAA as required by the Management Committee

 

  • To act as cover either directly or through a third party with regard to unfilled roles within the Management Committee

 

  • To liase directly with Members of the IRMAA and other volunteers with regard to responsibilities in any events, functions or other activities undertaken by the IRMAA

 

The duties of the Vice Chair shall be; -

 

  • To preside at Management Committee and Steering Group Meetings in the absence of the Chair

 

  • To act as principle spokesperson on public occasions or when representations are being made to public bodies on behalf of IRMAA as required by the Management Committee.

 

The duties of the Secretary shall be; -

 

  • To prepare, in consultation with the Chair, the Agenda for Management Committee and Steering Group Meetings

 

  • To take and keep minutes of Management Committee and Steering Group Meetings

 

  • To collect and disseminate information on all matters affecting the Group

 

The duties of the Treasurer shall be; -

 

·        To supervise the financial affairs of the Group

 

·        To ensure proper accounts are kept with regards to all monies received by and paid out by the Group

 

·        To provide periodic reports to the management and Steering Committee regarding financial status, planning and budgets.

Appendix B

 

Duties of other Officers of the Management Committee;-

 

The duties of the Operations Co-ordinator shall be; -

 

·        To ensure delivery of any projects undertaken by IRMAA in the correct manner and in line with any Restricted funding awarded to the group

 

·        To ensure adequate records are kept relating to all activities including parental permissions, photographic permissions, insurances, contracts and other legal documents.

 

·        To ensure that all training needs are provided for and that all officers of the organisation are kept up to date on any training needs, qualifications and are up to date with any legal requirements such as PI insurances, CRB checks and any other requirements which may be required in the future.

 

·        To source appropriate facilities for activities and to build relationships with schools and community groups local to these.

 

The duties of the Safeguarding Officer shall be; -

 

·        To act as the main IRMAA contact for matters pertaining to Child Protection and Protection of Vulnerable persons

 

·        To receive and act upon any complaints or concerns of abuse within IRMAA including members, persons utilising IRMAA provided activities, parents or supporters and bringing such matters to the immediate attention of the Chair and/or appropriate bodies in line with the IRMAA Safeguarding Policy.

 

·        To review and update as necessary the IRMAA Safeguarding policy

 

·        To run or provide facility for educational programs (physical or via documentation) to all IRMAA members, project leaders, instructors and other volunteers
